How the Environment and the Economy Affect Your Meetings

Lonely TreeLooking through some of the previous posts on the Cvent blog, two key topics of discussion repeatedly come up: the environment and the economy. That's not surprising, seeing as how these two E's are changing the way we look at and plan meetings and events. They also happen to be tied together in a very meaningful way to meeting planners.

Meeting Strategies Worldwide recently published an interesting white paper on this subject entitled, "The Economy and the Environment: One Solution for Two Meeting and Event Industry Issues." Regarding the history of each factor's role in the event industry, MSW notes that hospitality is the second top contributor to the waste stream in North America. Its profound impact has led to many calls for change, and in fact the number of association meeting planners planning green meetings has risen from a dismal seven percent in 2006 to 43 percent in 2008.

At the same time, the economy is struggling, and the event planners are feeling pressure to cut meetings spend. Several studies forecast fewer large meetings and scaled back production costs.

Luckily, these two challenges—saving the environment while saving a budget—can be tackled together. Green meetings are a win-win on many levels. Among the advantages suggested in the white paper:

Cost savings. Time and time again, it's been shown that green practices save money. Reducing handouts at a 1,300-attendee, two-day conference can save roughly $2,000 and 488 pounds of wood. Opting for china or linen service, instead of disposable serviceware, can be done at no additional cost, yet for a 5,000-attendee, five-day conference, you'll save 180,000 cans and bottles from going to waste.

Competitive advantage and promotional benefits. It isn't vain, it's just the truth: a boost in your reputation can be a strong pull in going green. The work of the Coalition for Environmentally Responsible Conventions during the 2004 Republican and Democratic National Conventions earned 90 published articles, four television appearances and 25 presentation opportunities. That's a big media ROI for just a few easy changes to your events.

Employee retention. One 2007 study revealed that respondents drawn from 15 developed nations care more about working for an environmentally responsible company than buying from one. A positive and proactive take on sustainability will undoubtedly attract and retain employees.

Eco-friendly meetings and events are a no-brainer in today's tough economic climate. From switching from paper to online documents or using reusable serving ware and bulk dispensers, the number of ways to green your meeting are numerous. Save money and the environment? There's never been a better time to go green.
