Calculating Meeting Space

Tuesday, November 18, 2008 by Cvent Staff
For thousands of venues included in the Cvent Supplier Network, Cvent has included meeting space charts that show planners how many people can meet in each room. Granted, the numbers listed are guideline estimates provided by the event venues, but they still offer a useful tool for estimating if a room is too large or too small for your event.

Another way Cvent makes it easy for planners to make this determination? We offer planners a meeting space calculator. This tool is quick, easy to use and, best of all, free!

Planners simply select the type of seating you will offer (or the room setup type) from a list of over 10 options. Then enter in the number of people you are expecting. In one click, the tool calculates an estimate of the size of room you will need in square feet.

Or, if you are unsure about attendee count, but have a room in mind, simply enter the size in square feet to calculate the maximum number of people you can fit based on room setup.

Every room is different in terms of layout and what it can handle, but this complimentary tool gives planners a sanity check on capacity for their meetings.

A few things to keep in mind as you use the meeting space calculator and meeting capacity charts that Cvent offers on the Cvent Supplier Network:

1. Certain types of seating plans allow a lot more people in a meeting room.

2. You can discuss with a venue changing your seating style plans if your attendance numbers go up or down.

3. It's always a good idea to ask the venue for a floor plan of the room to verify it will satisfy meeting needs.

4. Many hotels and special event venues can combine meeting rooms into one large space or offer multiple meeting spaces for large events.

5. It can be important to ask if the room has windows and what type of lighting is offered in the meeting room.

Visit the Cvent Supplier Network to search for venue capacity charts and use the meeting space calculator
